CivicRecordsOnline is a product of PALDAM LLC ("we", "us", "our"). This policy explains what information we collect when you use our website and services, and how we handle it.
Information We Collect
Free-trial sign-up. Starting a trial happens in the CivicRecordsOnline application, where your account information is collected and handled under the same practices described here. This marketing website itself does not ask for or store your email address.
Website analytics. This marketing website uses Google Analytics (GA4) to understand how visitors use the site — which pages are visited, browser type, and the referring URL. Google Analytics sets cookies on your device to do this. We run GA4 in its standard configuration, which does not store full IP addresses, and we do not use it for advertising and do not sell the data. See Cookies and Your Privacy Choices below to opt out.
Customer data. When you use CivicRecordsOnline as a subscriber, we will store the records request data you enter into the platform. This data belongs to your agency. We process it only to provide the service.
How We Use Your Information

- To comply with legal obligations
We Do Not Sell Your Data
We will never sell, rent, or trade your personal information or your agency's records data to third parties. Period.
Data Storage and Security
Your data is stored in the United States on Microsoft Azure infrastructure. We use industry-standard encryption in transit (TLS 1.2+) and at rest. Access to customer data is limited to authorized personnel only.
Data Retention and Export
You can request an export of your data at any time. If you cancel your subscription, we will provide a full data export and delete your data from our systems within 30 days of your request, unless we are required by law to retain it.
Subprocessors
We use a limited number of third-party providers to host, deliver, secure, monitor, and bill the service. We do not share your data with these providers beyond what is necessary to operate CivicRecordsOnline. See our Subprocessors page for the current list.
Your Rights
You may request access to, correction of, or deletion of your personal information at any time by emailing us. We will respond within 30 days.
Cookies
This marketing website uses two kinds of cookies. Essential cookies keep the site working. Analytics cookies are set by Google Analytics (described above) to measure traffic. We do not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings, install the Google Analytics opt-out browser add-on, or turn on your browser's Global Privacy Control (GPC) signal, which we honor as an opt-out of analytics.
Your Privacy Choices (California residents)
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the right to:
- Know what personal information we collect about you and how we use it (described throughout this policy).
- Access a copy of the personal information we hold about you.
- Delete the personal information we hold about you, subject to legal exceptions.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information.
- Not be discriminated against for exercising any of these rights.
We do not sell or share your personal information, and we do not use it for cross-context behavioral advertising — so there is nothing to opt out of on that front. To exercise any of these rights, email privacy@civicrecordsonline.com. We will verify your identity and respond within 45 days. You may also use an authorized agent to submit a request on your behalf.
Changes to This Policy
We may update this policy from time to time. If we make significant changes, we will notify affected users by email.
